Working with PowerPoints Slide Master to Create a Custom Template

Learn how to work with PowerPoint’s Slide Master – creating a custom template, adding a theme, setting the background, changing the overall font, changing various fonts throughout your presentations, adding placeholders to specific layouts, adding page numbers, changing page number locations, adding footers, and saving your custom template.

PowerPoint’s Slide Master is like a “set it and forget it” feature.  It allows you to create a completely customized and unique template that you can use over and over for all your new presentations. So, whether you are doing just a couple or many presentations, it’s worth taking the time to set up the template. Because, once you’ve set it up you can use it for all new presentations allowing you to have the customized look as well as consistency throughout your presentations. Below are the step-by-step instructions for work with PowerPoints slide master to create a custom template.

Creating a Custom Template

You can create a custom template to use as the base for all your presentations.  The template will be based upon modifications to your slide master.  The slide master defines the formatting and position for common elements within your presentations, such as title and content placeholders, footers, style, and fonts.

  1. Click the File
  2. Click New.
  3. Click Blank Presentation.
  4. Click the View tab on the ribbon.

  6. Once selected, the Slide Master tab becomes available. The Slide Master is the slide image at the top of the slide thumbnails.  Layouts associated with it are listed below it.   Note:  Changes are made to the Slide Master and layouts from the Slide Master tab.VLBTechEd PowerPoint Slide Master Custom Image 2
Adding a Theme
  • Click Themes, from the Edit Theme group on the Slide Master. VLBTechEd PowerPoint Slide Master Themes Image 1

Setting the Background
  • If you wish to set a different background, click Background Styles from the Background group on the Slide Master. VLBTechEd PowerPoint Slide Master Background Image 1
  • Click the appropriate background for your presentation.
Changing the Overall Font

To change the font used throughout your presentation, click Font from the Background group on the Slide Master tab.  Now, choose the appropriate font.   Note:  You can glide you mouse over the various font options to see how they would look on your Master Slide. Changing Various Fonts Throughout Your Presentation
  1. Confirm the Slide Master slides are still showing in the thumbnail pane.
    • If not, open it by clicking the View tab on the ribbon.
    • Click Slide Master from the Master Views group.
  2. In the thumbnail pane, click the slide master thumbnail or the layout slide that contains the font you that you want to change.
  3. On the selected slide, click the text that you want to apply the new font to.
  4. Click the Home tab.

Adding a placeholder to a specific slide layout
  1. From thumbnail pane, click the slide layout you want to hold the place holder.
  2. Click Insert Placeholder from the Master Layout group on the Slide Master tab.

  4. Click within the slide and drag it to the appropriate location.
  5. Drag the corner of one of the new placeholder’s borders to resize it. VLBTechEd PowerPoint Slide Master Placeholder Image 2
Adding Page Numbers to Your Slides
  1. Confirm the Slide Master slides are still showing in the thumbnail pane.
    • If not, open it by clicking the View tab on the ribbon.
    • Click Slide Master from the Master Views group.
  2. Click Insert tab on the ribbon.

  5. Check the Don’t show on title slide box if you don’t want the slide number to appear on the title slide.
  6. Click Apply to All.
Changing the Location of the Page Numbers on Your Slides
  • In the Slide pane, select and hold the page number placeholder until you see the four-headed arrow. VLBTechEd PowerPoint Slide Master Number Image 3
  • NOTE: The location of the slide numbers can vary, depending on the theme chosen for your presentation. For this example, the number location changes with each layout type. VLBTechEd PowerPoint Slide Master Number Image 4

Adding a Footer to Your Slides
  1. Confirm the Slide Master slides are still showing in the thumbnail pane
    • If not, open it by clicking the View tab on the ribbon.
    • Click Slide Master from the Master Views group.
  2. Click on the Insert tab.

  5. Check the Date and time box to add the date and/or time to your slides.
  6. Check update automatically to have the date automatically updated when the presentation is opened. Then, choose the date/time format you wish to use. VLBTechEd PowerPoint Slide Master Footer Image 3
  7. Or, check Fixed to set the date/time manually and type the date/time as you want it to appear in your presentation.
  8. Check Slide number to add the slide numbers (if you have not already set this).
  9. Check the Footer box to add a manual footer. Then, manually enter the footer information in the box below the Footer check box. VLBTechEd PowerPoint Slide Master Footer Image 4
  10. Check the Don’t show on title slide box if you don’t want the slide number to appear on the title slide.
  11. Click Apply to All.
Saving your Presentation as a Personal PowerPoint Template (.potx)

Once all the necessary changes have been made, you need to save the presentation as a PowerPoint template (.potx).

  1. Click the File tab on the ribbon.
  2. Click Save As.

  4. Browse to the appropriate location to save the template.  Example:  C:\Program Files\Microsoft Office\Templates.
  5. In the File name box, type the appropriate name for your template.
  6. In the Save as type list, choose PowerPoint Template. VLBTechEd PowerPoint Slide Master Save Image 2
  7. Click Save.
