PowerPoint Printing Options for Presentations, Notes, Handouts and Outlines

Learn how to utilize PowerPoints Print options to customize the printing of your presentations, notes, handouts and outlines.

PowerPoint’s Printing options give you the ability to choose printing not only your presentation, but also your notes, handouts and the presentation outline quickly and easily.  Below are the step by step instructions for utilizing the PowerPoint printing options for presentations, notes, handouts and outlines.

  1. Click the File tab.
  2. Click Print.  Shortcut key options — ALT + FP or CTRL + P

Working with Print Settings

  1. Selecting what to print – Click the down arrow next to Print All Slides and choose the necessary option –PowerPoint Printing Options for Presentations, Notes, Handouts and Outlines
    • Print All Slides – It is selected by default and prints the entire worksheet.
    • Print Selection
    • Print Current Slide
    • Custom Range
  2. Click the down arrow next to Full Page Slides to choose additional options.
    • Print LayoutPowerPoint Printing Options for Presentations, Notes, Handouts and Outlines
      • Full Page Slides (default) – Prints 1 full page slide on each page. PowerPoint Printing Options for Presentations, Notes, Handouts and Outlines
      • Notes Pages – Prints the slides with any notes below the slide.PowerPoint Printing Options for Presentations, Notes, Handouts and Outlines
      • Outline – Prints the outline for the presentation.PowerPoint Printing Options for Presentations, Notes, Handouts and Outlines
    • Navigate to the Handouts section to select number of slides per page and to print either horizontal or vertical.PowerPoint Printing Options for Presentations, Notes, Handouts and Outlines
    • Frame Slides – to add frame to each slide; check to toggle on and off.
    • Scale to Fit Paper (set as default) – Check to toggle on and off.
    • High Quality – Check to toggle on and off.
    • Print Comments and Ink Markup – Available if the presentation contains comments and/or markups; check to toggle on and off.
  3. Click the down arrow next to Print One Sided to choose to Print One or Two Sided.PowerPoint Printing Options for Presentations, Notes, Handouts and Outlines
    • Print One Sided will only print on one side of the paper.
    • Print on Both Sides – Flip pages on long edge will print on both sides of the paper and flip the page over clipboard style. Note:  Your printer must be capable of duplexing for this option.
    • Print on Both Sides – Flip pages on short edge will print on both sides of the paper and flip the page over book style. Note:  Your printer must be capable of duplexing for this option.
  4. Click the down arrow next to Collated to choose to print Collated or Uncollated.PowerPoint Printing Options for Presentations, Notes, Handouts and Outlines
    • Collated 1,2,3…1,2,3 will print the worksheet in ordered sets.
    • Uncollated 1,1,1…2,2,2 will print the worksheet in stacks of each page.
  5. Click the down arrow next to Color to choose to print your presentation in Color, Grayscale or Pure Black and White.PowerPoint Printing Options for Presentations, Notes, Handouts and Outlines
  6. Click the Edit Header & Footer link to edit the header and footers on the slides and/or notes and handouts.PowerPoint Printing Options for Presentations, Notes, Handouts and Outlines
    • Slide Tab – Set up the header and footer to include on your slides.PowerPoint Printing Options for Presentations, Notes, Handouts and Outlines
      • Clicking Don’t show on title slide keeps the title slide clear
      • Apply will only apply the information to the slide you are currently accessing. This allows you to include a special footer on specific slides.
  • Notes and Handouts Tab – Set up the header and footer to include on your Notes and Handouts. Any information included will appear on all printed pages.   Note:  These headers and footers will NOT appear in our presentation.PowerPoint Printing Options for Presentations, Notes, Handouts and Outlines
