Outlook Email Printing Options

Learn how to customize the printing of emails and attachments using the Outlook email printing options.

The Outlook email printing function allows you to quickly print emails using the default options or to customize the printing of emails and their attachments.  Below are the step by step instructions for using the Outlook email printing options.

  1. Select the message you need to print either by highlighting it in the Message List or by opening it.
  2. Click the File tab.
  3. Click Print. Shortcut Keys — ALT + FP or CTRL + P
  4. The print window opens, giving you access to a full range of print options all available on one page, including a preview of the document.Outlook Email Printing
  5. Click the Print button to print the email with all selected defaults.

OR  Click the Print Options button to access various settings and page options.Outlook Email Printing

  1. The Print dialog box will open.Outlook Email Printing
  2. Check the Print to file box to print the message as a file.
  3. Select Page range – All is the default.Outlook Email Printing
  4. Check the Print attached files box to print the attachments. NOTE:  This is a toggle switch.  Once you have checked it, it will remain checked for all printed emails until you UNCHECK the option.Outlook Email Printing
  5. Click the Page Setup button.Outlook Email Printing

  7. Select the Paper tab to set the Paper Type, Paper Size, Margins and Orientation.Outlook Email Printing
  8. Select the Header/Footer tab to create customized headers and footers.Outlook Email Printing
  9. Click OK when done.  Note:  The changes you make in Page Setup will save to the default Memo style.  If you do not want to use these changes on all messages, define a new style and make the changes to the new style.Outlook Email Printing
