Creating Custom Outlook Search Folders

Learn how to create custom Outlook search folders to easily find frequently accessed information.

Outlook gives you the capability to create custom search folders, allowing you to quickly find specific information on a regular basis.  Search folders can be set up to find all high importance emails, emails containing specific words, from specific recipients, etc.  Below are the step-by-step instructions for creating custom Outlook search folders.

  1. Open Outlook and navigate to the Mail app.
  2. Click the Folder tab.
  3. Click New Search Folder in the New group.outlook-search-folder-image-1

  5. From the Select a Search Folder list, scroll down and click Create a custom Search Folder.
  6. Under Customize Search Folder, click the Choose button.
  7. The Custom Search Folder dialog box will open.  In the Name box, type a name for your custom Search Folder. outlook-search-folder-image-3
  8. Click the Criteria button.
  9. The Search Folder Criteria dialog box will openSelect the appropriate options for your search.
    • Messages tab — Contains criteria on the message content or properties, including sender, words within subject and/or body, recipients, or time.outlook-search-folder-image-4
    • More Choices tab — Contains criteria on additional message conditions, including importance, flags, attachments, or categorization. outlook-search-folder-image-5
    • Advanced tab – Contains the features to make details search criteria. outlook-search-folder-image-6
      • Under the Define more criteria heading, click Field and choose the desired criteria.outlook-search-folder-image-7
      • Click the specific criteria from the list.
      • In the Condition box and the Value box, click the desired options and then click Add to List.
      • Repeat for each criterion that you want to add to this search folder.
      • Click OK.
  10. Click the Browse button.
  11. The Select Folders dialog box will open.  Select the folders that you want to be searched.  To search subfolders, verify the Search Subfolders box is checked. outlook-search-folder-image-8
  12. Click OK to close each open dialog box.
  13. The new search folder is then created belowthe Search Folder heading. outlook-search-folder-image-9
